Troubleshooting Common Microsoft Outlook Errors

Microsoft Outlook is a widely used email service globally, known for its extensive features and user-friendly experience. However, it also has its share of issues that can frustrate users. One common error is "cannot open your default email folders," which typically occurs when opening an Outlook profile. This error is often due to a corrupted OST file or running Outlook in compatibility mode.


Causes of OST File Corruption


OST files allow users to use Outlook offline by synchronizing account data saved on your device. These files can become corrupted for several reasons:

  • Deletion of files or folders from the Exchange folder.

  • Malware or virus intrusion.

  • Disruption in file synchronization due to sudden or abnormal shutdowns.

  • Internal discrepancies in Outlook causing abnormal termination.

  • Creation of bad sectors on the hard drive where the OST file is stored.

  • Failure of networking devices disrupting the synchronization process.

  • Changes in the internal structure of the OST file.

  • Installed plugins damaging Outlook performance.


Fixing OST File Corruption


Here are some steps to fix OST file corruption:

  1. Remove unused profiles from "Control Panel > Mail > Show profiles."

  2. Create a new copy of the OST file.

  3. If the error persists, create a new profile using Outlook Profile Helper or manually.


Outlook Error Caused by Compatibility Mode


You might encounter errors like:

  • "Cannot open your default email folders. Information store could not be opened."

  • "Cannot start Microsoft Outlook. Cannot open the Outlook window. The server is not available. Contact your administrator if this condition persists."

  • "Cannot display the folder. File access is denied. You do not have the permission required to access the file C:\Users\username\localsettings\application data\microsoft\outlook\outlook.ost"

If compatibility mode is enabled by mistake, disable it. Compatibility mode is not required for any version of Outlook on Windows Vista, Windows 7, or any other Windows OS.

To disable compatibility mode on a 64-bit operating system:

  1. Navigate to "C:\Program Files (x86)\Microsoft Office\Office XX\Outlook.exe."

  2. Right-click on the exe file, select Properties, then go to the Compatibility tab.

  3. Uncheck "Run this program in compatibility mode," then click Apply and OK.

If you can't find the Compatibility tab:

  1. Click Start and search for Program Compatibility Troubleshooter.

  2. Start the troubleshooter and select Next to proceed.

  3. Select Outlook XX from the list of programs and follow the steps.


Diagnosing Outlook Errors with Exchange Accounts


If the error occurs with an Exchange email account:

  1. If running alongside a Windows Server or firewall, disable the firewall and connect directly to the server.

  2. If the error is resolved, reconfigure the firewall to allow Exchange to sync.

  3. If the error persists, create a new mail profile in Outlook and reconfigure your account.
